Privacy policy

The short version: we collect nothing unless you fill in a form, and we do not track you.

What we collect

This website has no accounts, no logins, and no payments. The only time we receive personal information is when you choose to submit one of our forms: membership, volunteer, contact, or partnership.

Those forms ask for:

  • your name
  • your email address
  • whatever you write in the message and selection fields

We use this only to reply to you and to organise the programme you asked about. We do not sell it, rent it, or share it with anyone outside The Soul Care team.

How form submissions reach us

Because this site is a set of static pages with no server of our own, form submissions are passed to a third-party service called Web3Forms, which forwards them to The Soul Care inbox. Your submission travels through their systems on the way to us and is covered by their privacy policy as well as this one.

To keep bots from flooding those forms, each one carries a spam check from hCaptcha. You tick a box to show you are a person. To decide that, hCaptcha can see your IP address and some information about your browser, and it may store something in your browser. It does not see what you typed into the form.

Tracking, cookies, and analytics

We use Google Analytics to see how many people visit the site and which pages are useful to them. It tells us things like which articles get read and roughly which country visitors are in. It does not tell us who you are, and we never combine it with anything you send us through a form.

To count you as one visitor rather than several, Google Analytics stores a random ID in a cookie in your browser. You can stop it by turning on your browser's Do Not Track or tracking protection setting, by using Google's opt-out add-on, or by blocking cookies for this site. Nothing on this site stops working if you do.

Cloudflare, the company that hosts this site for us, also counts page views. It uses no cookies and saves nothing in your browser, and it cannot tell us who you are. It only tells us how many people came and which pages they opened.

Our longest forms, the volunteer and Academic Mentor applications, save what you have typed so far in the browser tab you are using, so that a refresh or a mis-tap does not cost you the whole application. It stays on your device, it is never sent to us until you press submit, and it is erased as soon as you send the form or close the tab.

We use no advertising trackers. Apart from Google Analytics, the hCaptcha spam check, and the saved applications above, nothing on the site stores anything in your browser. Webinar videos are click to play: we show a thumbnail image from YouTube, and the video player itself only loads after you press play, using YouTube's no-cookie domain. Our fonts are served from this site rather than from Google.

Our hosting provider keeps standard server logs, such as IP addresses and request times, for security and reliability. We do not use those logs to build a profile of you.

Students and young people

Many of the people who use this site are school students. We ask only for the information we need to reply, and we would rather you shared less than more. Please do not send us detailed personal or medical information through these forms. If you are under 18 and would like a parent or guardian involved in your contact with us, tell us in your message and we will work with them.

We do not keep clinical records

The Soul Care is non-clinical. We do not diagnose, treat, or provide therapy, so there are no case notes, counselling records, or medical files of any kind.

Asking us to delete your information

You can ask us at any time to tell you what we hold about you, to correct it, or to delete it. Email that request to [email protected] and we will act on it. We keep form submissions only as long as we need them for the programme you contacted us about.

Changes to this policy

If we start using a new tool that changes any of the above, we will update this page and change the date at the top.
